# Septic tank pumping software that ties every tank to the load, the manifest and the disposal site

> Septic tank pumping is the scheduled removal of sludge and scum from an onsite septic tank and the lawful disposal of the septage that comes out of it. EPA says more than one in five households in the United States depend on a septic system, that a tank should be inspected at least every three years and pumped every three to five years, and that it is due when more than 25 percent of the liquid depth is sludge and scum. Neurobird holds the tank, the route, the load and the disposal record on one job.

## What Neurobird Septic Tank Pumping does

- Hold the tank as a property record with location, size, lid depth, access notes and last service date
- Capture the load volume, the manifest and the receiving site at the truck rather than on a form afterwards
- Build the next route from tanks that are actually due instead of a spreadsheet sorted by hand
- Keep the disposal record and licence paperwork a state inspector asks for in one place

## How it works

1. **Record the tank once** Location, size, lid depth and access notes attach to the property, so the second visit is not a rediscovery of the first.
2. **Pump and manifest** Volume, condition, filter service and the receiving site are captured at the job, with the ticket photographed against that load.
3. **Set the return** The next due date comes from the tank and the household, not from a rule of thumb, and the route picks it up when it arrives.

## From the source material

> Recordkeeping - Commercial septic tank cleaners must record the location of all cleaned PSDSs or toilet units, the method of septage or waste disposal, and the volume of septage or waste disposed of for each trip.

## Industry context

- **503.32** Domestic septage applied to agricultural land, forest or a reclamation site must have its pH raised to 12 or higher by alkali addition and held there for 30 minutes, with the site restrictions met. (source: eCFR, 40 CFR 503.32(c), https://www.law.cornell.edu/cfr/text/40/503.32)
- **25 percent** EPA says a tank should be pumped when the scum layer is within six inches of the outlet, the sludge layer within 12 inches of it, or more than 25 percent of the liquid depth is sludge and scum. (source: US EPA, how to care for your septic system, https://www.epa.gov/septic/how-care-your-septic-system)
- **$150** Iowa charges 150 dollars a year for a commercial septic tank cleaner licence for the first registered vehicle, 50 dollars for each additional vehicle, plus 7 dollars per 1,000 gallons of septage land applied. (source: Iowa DNR, septic tank cleaning, https://www.iowadnr.gov/environmental-protection/water-quality/private-sewage-disposal-and-septage/septic-tank-cleaning)
- **3 years** EPA recommends inspection of the average household system at least every three years, with pumping typically every three to five years and yearly attention for systems with pumps or float switches. (source: US EPA, how to care for your septic system, https://www.epa.gov/septic/how-care-your-septic-system)
- **1 in 5** More than one in five households in the United States depend on a septic or small community cluster system to treat their wastewater. (source: US EPA, about septic systems, https://www.epa.gov/septic/about-septic-systems)

## Questions

### What is septage?

Septage is the sludge, scum and liquid pumped out of a septic tank. Federal rules treat it as a regulated material: under 40 CFR 503.32 domestic septage applied to agricultural land, forest or a reclamation site must have its pH raised to 12 or higher and held there for 30 minutes, with site restrictions met.

### How often should a tank be pumped?

EPA recommends inspection at least every three years and pumping every three to five years for a typical household system. The real trigger is measurement: pump when the sludge layer is within 12 inches of the outlet or more than 25 percent of the liquid depth is sludge and scum.

### Does this replace our accounting software?

No. It sits beside it. Invoicing stays where it is. This holds the tank, the load, the manifest and the disposal site, which is the part that has to survive an inspection and a driver leaving.

### Can it handle land application records?

Yes. Volume, treatment and site are recorded per load, which is what a land application programme and its per gallon fees are assessed on.

### What happens when a driver leaves?

The tank record stays. Lid depth, access route, tank size and history belong to the property, not to whoever happened to drive there last.
